More efficient Data Exchange thanks to new Document Management on SharePoint
Klett und Balmer is a private publisher of teaching materials based in Baar. With over one million copies sold each year, Klett und Balmer is one of the largest suppliers of teaching materials in Switzerland. The publishing house was founded in 1967 by the Stuttgart publisher Ernst Klett and the Zug bookseller Hans-Rudolf Balmer. Today, the company is part of the internationally active Klett Group, headquartered in Stuttgart. In addition to Klett and Balmer, the group includes around 60 companies.
Initial Situation
Up to now, the internal exchange of information and data on the teaching materials to be developed took place on file servers. Data exchange with up to 100 external participants took place via e-mail. This meant that numerous different document versions were in circulation and the documents on the file server always had to be reassembled. This process was often cumbersome, time-consuming and error-prone, and efficient work was made difficult. In addition, the filing structure differed depending on the teaching material, which made it even more difficult to handle documents.
Solution
Collaborative document management with SharePoint was introduced at Klett and Balmer. The teaching materials projects are now managed on uniformly structured workspaces. Internal employees as well as external project members can directly access the latest information and documents. This enables efficient collaboration. Thanks to versioning, access to older document variants is ensured.
